# Invoices in four currencies, one book for the accountant

Ines Marchetti designs products for three clients in three countries and gets paid four ways.

#### Invoices in any currency

One client pays in euro, one in dollars, one in pounds, and the newest wants to pay in USDC. Which rate does the book use?

- Four figures as filters: owed, overdue, received this month, paid without an invoice; each one opens its own list.
- Paid by card via your Stripe, by transfer or in stablecoins; a quote becomes the invoice.
- Each invoice is priced at the day's rate, so the month adds up in one currency. A Rates card on the home board holds up to four pairs you pick: the rate Orla values your money by, refreshed about hourly, not a trading quote.
- Recurring invoices, reminders, and an invoice that marks itself paid when money lands.
- Who owes, one row per client and not per invoice: how much, how late the oldest is, how many reminders went and when, whether they answered, the day they promised, and one next step with its reason. Write it down records a promised day; Send it sends the same reminder the schedule would.
- The invoice mail names you in the subject, and the client's Reply goes to the billing email printed on the document. The From line stays Orla on purpose, so a mail about money cannot pretend to come from someone else.

#### A quote, a link, a paid invoice

A new client wants a price before a contract, and a workshop attendee just wants to pay. Where do the quote and the link live?

- A request by link: the amount, what it is for, and the rails the payer may use to settle it with you.
- Links expire; a machine gets a price instead of a page (x402).
- A quote becomes the invoice; a credit note corrects a sent invoice as a second document, never as an edit of the invoice the client already has.

#### A payment page under your own name

A workshop attendee wants to pay for a seat and a client abroad wants to send a deposit tonight. Where do they pay when there is no invoice yet?

- A permanent payment address for the space, and a page under your own name where a client can pay.
- On your @handle page a visitor names an amount and gets a link of their own.
- Paid by card via your Stripe, by transfer or in stablecoins; what arrives is matched to the request and booked as income the day it lands.

#### VAT by the quarter, from the rows

Output tax from the invoices, input tax from the coworking and the software, the reverse charge on the client abroad. What is the quarter's figure?

- VAT returns period by period, output tax from invoices and input tax from expense rows, reverse charge handled; a rate or an exchange rate is never guessed, only ever read.
- Ask what VAT the quarter will come to and the answer is two figures: what has accrued, and where the period's pace leads by its last day. A period younger than two weeks gets no estimate and says why. It names the day the period closes, not a filing deadline, and it files nothing.
- A rule can speak at the moment a client's money reaches the book: "Acme paid 4 000, thirty per cent of it is 1 200, move it to Tax". It moves nothing and books nothing; setting aside is your press.
- The year in four steps: what is not ready, does it reconcile, the return, the seal.
- Cost basis FIFO, LIFO or HIFO with the date and cost of acquisition; realised crypto gains in the same report.
- A sealed year reports its own drift.

#### Expenses filed by their own history

Coworking, a train to the client, Figma, insurance. Filing them by hand every month is the job nobody bills for and everyone postpones.

- Rows without a category queue up by merchant, each with a suggestion drawn from your own history, so the same supplier is filed the same way each time it appears.
- A rule is written in words and may apply to the past; applied to the past, it can be undone.
- A receipt finds its own payment; a bill from a letter becomes a draft with the file attached.
- Refunds link to the purchase they reverse; transfers between your accounts pair up.

#### A wallet beside the bank

Part of the income arrives in USDC. Does it live in a separate app, or in the same book as the euro account and the card?

- The euro bank, the card, Stripe and the USDC wallet add up to a single total.
- Prove a wallet is yours before trusting it; balance history per account, send, receive and swap, and WalletConnect for the wallet you already use.
- Cost basis FIFO, LIFO or HIFO with the date and cost of acquisition; realised crypto gains in the same month as the rent and the coworking.
- Screen an address before you pay it or the one that just paid you.

#### A card for tools and trains, topped up in USDC

A client paid the deposit in USDC. Can that wallet pay for Frame.io, the font licence and the train to Milan without moving it to the bank first?

- A virtual card on a prepaid balance you top up in USDT or USDC.
- A card with a ceiling, freeze and block; the issuer's history is checked against what you allocated, so a stray charge shows up the same day.
- Refunds are answered in the books on their own.

#### The month to the accountant

The accountant asks for the same folder every quarter: every invoice, every receipt, the bank feed, the VAT figure. One press or an afternoon?

- A closing checklist with a door into each list: rows without a category, without an account code, without paper, unpaid invoices, payments still waiting for a signature.
- A zip archive, a journal CSV, and each account's feed for QuickBooks Online and Xero.
- Review, Close, Reopen with a reason; what changed after the export is visible.
- An accountant seat reads the closed period and cannot change it.

#### You, your accountant, and a contractor

- Founder: Sends the quote and the invoice, files the week's rows in a minute, and knows the VAT figure before the quarter ends.
- Accountant: Gets the quarter's files, and a seat for reading the closed period.
- Contractor: Is paid from the same book when a project needs a second pair of hands, as a contact with a rail, not a seat.

#### Ask it who has not paid, and press once

One person, many clients: the composer keeps the chasing and the tax in view without a spreadsheet.

- Who is overdue, and what next: One line per client: how late the oldest invoice is, the reminders sent, what they promised, and one next step with its reason. Write it down and Send it are a press each.
- VAT by the day the period closes: What has accrued, and where the period's own pace leads by its last day, with a goal card on the tax account. Nothing here moves money.
- The month as a checklist: Everything that stops the close in one list with a box per line, and the last box closes the month.

#### Clients pay by card, bank transfer or USDC

Card payments through your own Stripe, the euro bank by feed, and a USDC wallet in the same book.

#### Read-only feeds, keys in your browser

- Read-only connections: Bank feeds and exchange keys only read. A key with trading rights is refused.
- Your keys stay yours: Wallet keys stay in your browser. Orla holds money in two places only, both funded by you: the card balance and an agent's wallet.
- Screening: An address is screened before you pay it or the one that just paid you; the verdict is kept.
- Paper: A receipt finds its own payment; rows without paper are waived in bulk when there never was any.

#### Questions

##### Can I invoice in a currency my bank does not hold?

Yes. An invoice is issued in the currency the client pays in and priced into your base currency at the day's rate. Where the money lands is the account you pick on the invoice.

##### Does the free plan cover a business of one?

The free plan has no card and no time limit, and it includes one business space to try. Paid plans start at $25 a month; any single limit can be raised with a pack instead of a plan change, so a business of one pays for what it uses.

##### How does the accountant get the quarter?

As a zip archive, a journal CSV and each account's feed for QuickBooks Online and Xero, with the VAT return period by period. An accountant who prefers the rows to a folder gets a seat that reads the closed period.
