Marlow Property runs three units with three tenants, two people and an accountant.

#### Rent invoiced per unit, reminded, matched

Three tenants, three rents on the first. Two paid, one did not. Who gets the reminder, and does the book know which unit it was?

- Recurring invoices per tenant on the first, reminders on schedule, and an invoice that marks itself paid the day the rent lands in the bank.
- Four figures as filters: owed, overdue, received this month, paid without an invoice; each one opens its own list.
- Who owes, one row per tenant and not per invoice: how much, how late the oldest is, how many reminders went and when, whether they answered, the day they promised, and one next step with its reason. Write it down records a promised day; Send it sends the same reminder the schedule would.

#### Net per unit, from the rows

Harbor View pays the most rent and eats the mortgage and the plumber. Which unit makes money this quarter?

- A unit is a project: its rent, its mortgage, its repairs and its utilities sit under it, so each unit has a report of its own.
- A report is described in words and saved as a question, and it runs again each time it is opened.
- Compare periods side by side; the report goes out as a file the accountant can read.

#### The plumber, the electrician and the roofer, paid from one list

Ortiz fixed the water heater, Keystone quoted the flashing. What is due, what is overdue, and which unit does each belong to?

- Bills arrive as documents and become rows to pay, each one filed under the property it belongs to.
- Bills to pay, sorted into due, overdue and paid; a bill above the threshold waits for a second signature.
- Before a bill is paid, the book looks for the one it already has: the same number written another way, the same amount from that contractor within ninety days, or money that already left to them for that amount. A person says duplicate or different bill, and both papers stay.
- A contractor is a contact with a rail, not a seat.

#### Supplies and viewings on cards with a ceiling

Paint from Home Depot, a lockbox from Staples, the cab to a viewing. Can each person carry a card with a ceiling, and does the charge land under the unit?

- Virtual cards from one prepaid balance, Visa or Mastercard picked when the card is issued; the balance is topped up in USDT or USDC, and there is no card or bank transfer into it.
- A card per person with a ceiling, freeze and block; the issuer's history is checked against what you allocated, so a stray charge shows up the same day.
- Refunds are answered in the books on their own.

#### Deposits on their own account, never in the rent

Three deposits sit in the bank beside the rent. Are they counted as money to spend, and what does the book say when a tenant leaves?

- Every account in one list with its balance and history: operating, deposits, the card pool.
- A transfer between your own accounts is never income; a returned deposit is a move.
- The deposit account's statement can be compared with the book without importing it: what is in one and not the other, and how far the totals differ. Nothing is written, stored or remembered.
- Balance history per account, so the deposit account is flat until a tenant leaves.

#### Rent, mortgage and insurance on one calendar

Rent comes on the first, the mortgage goes on the tenth, the insurance on the eighth. What is the low point of the month, and on which day?

- Everything dated on one page: what is overdue, what falls this week, what is coming in, and where the balance lands at month end.
- A row that looks recurring gets a hint; the forecast names the low point and its day.
- Rules that watch the books and tell a person: a balance below the line, a budget nearly spent, an invoice due, a connection that stopped syncing.

#### The month to the accountant

Three units, two bank accounts, a card, and an accountant who wants one folder per property and a door into the closed month.

- A closing checklist with a door into each list: rows without a category, without an account code, without paper, unpaid invoices, payments still waiting for a signature.
- A zip archive, a journal CSV, and each account's feed for QuickBooks Online and Xero.
- Review, Close, Reopen with a reason; what changed after the export is visible.

#### Two people run three units

- Founder: Signs the roofer's bill, reads the net per unit, and keeps the deposits where they are.
- Office manager: Sends the rent invoices, pays the plumber from the list, and runs the supplies card.
- Accountant: Gets every row filed under its unit, and reads the closed month without touching it.

##### Can tenants pay rent by card?

Yes, via your own Stripe account; by transfer or by link as well. The invoice marks itself paid when the money lands, and the row sits under the unit.

##### Is the deposit account a trust account?

It is a bank account you keep for deposits, read by feed like the operating one. Orla keeps it apart in the book and never counts it as money to spend; the legal form of the account is yours to choose with your bank, not something Orla decides.

##### What does a landlord with three units pay?

The free plan has no card and no time limit, and it includes one business space to try. Paid plans start at $25 a month; any single limit can be raised with a pack instead of a plan change, so a landlord with three units pays for what they use.
