Use case · Team and AI staff

Hire an AI bookkeeper that works the books daily and can't move a dollar

A role goes through its part of the books once a day and queues proposals. Nothing changes until someone with the right presses Accept.

The case

Nobody's job, until now

Alder & Wren has no bookkeeper. Forty rows sit without a category, two clients are late, and a contractor bill is due Friday. Everyone assumes someone else has it.

The route

Hire a role, read its work, see how it learns

Recorded on the demo studio's books with the Bookkeeper and the AR clerk hired.

AI staff in Team & access, the Bookkeeper's work in the Inbox with one category accepted and the next rejected, and its counters back on its card.

Once a day the role proposes, and its cards wait in the Inbox under its name. Here it suggests a category for a merchant, with how many rows it moves: one proposal is accepted, the next rejected. Unanswered proposals drop off after 14 days.

Each role's card counts what waits for you, what was done in 30 days, and how often its proposals were accepted as they were, week by week.

Who does what

Where Orla stops and you press

AI staff is rolling out. Free and Starter hire none, Pro one role, the company plans all four. Each run spends the space's monthly AI allowance; when it's used up, that day is skipped.

Orla does

  • Runs each role once a day, and again on an event: a new bill, ten uncategorised rows, money with no invoice. At most three extra runs a day.
  • Queues every change as a proposal for a person to accept or reject.
  • Shows what each role knows and how often its proposals were accepted as they were.

You do

  • Accept or reject. The press takes the right that action needs.
  • Sign payments. The AP clerk's Accept only puts a payment in line for signatures.
  • Pin or forget what the role has learned.

Orla does not

  • Approve, sign or send a payment, or mark a bill paid.
  • Touch cards, the team or settings, or let mail out of quarantine.
  • Follow instructions hidden in a payee name or a note. That text is data, and the assistant shows which row it came from.

Questions

What people ask about this

Can ChatGPT do my bookkeeping?

A chat model answers about whatever you paste into it. A role in Orla works inside your books with a fixed set of rights, remembers the practices you keep, and every change it wants waits for a person.

Is AI replacing bookkeeping?

It's taking the routine part: categorising, matching, reminding. Judgement, signatures and the conversation with your accountant stay with people, and in Orla that's written into what a role can't do.

How much does AI bookkeeping cost in Orla?

The role comes with the plan: one on Pro, all four on the company plans, none on Free and Starter. Its runs use the space's monthly AI allowance, which the plan sets.
